Japan Identification Co., Ltd. (hereinafter, “JID”) uses personal information obtained from customers (meaning landlords, renters, agents, and other parties that enter into contracts with JID), job applicants, and employees in accordance with our Personal Information Protection Policy to ensure the reliable and smooth execution of related operations (rental guarantee operations, members-only mail-order sales operations, etc.) within the scope of the purposes of use specified below.

1. Personal Information

“Personal information” means information about living individuals that can be used to identify them, such as their name and date of birth (as well as as their individual identification code). It includes the following items.

  • The customer’s name, telephone number, email address, street address, date of birth, gender, nationality, place of employment, family structure, and status of residence (including information that has been changed) that is provided through application forms and other forms used by JID. If a customer contacts JID by any means for an inquiry or consultation, conversations with JID may be recorded and personal information may be obtained in order to record the content of that communication accurately.
  • The name, telephone number, street address, date of birth, gender, nationality, and place of employment of an emergency contact or joint guarantor provided in a rental guarantor service contract. If an emergency contact or joint guarantor contacts JID by any means for an inquiry or consultation, conversations with JID may be recorded and personal information may be obtained in order to record the content of that communication accurately.
  • The name, telephone number, email address, street address, date of birth, gender, educational history, and work history provided to employment services while the applicant was applying for a job at JID
  • Letters, numerals, symbols, and other notation that is converted into a format that allows computers to process some of the customer’s physical characters
  • Numbers assigned to customers by government institutions (including passport number, basic pension number, driver’s license number, resident record code, and individual number)

2. Purposes of Use

JID uses the personal information of customers, job applicants, and employees in order to carry out the following operations.

  1. Personal information related to renters and landlords
    • For carrying out processes related to concluding, modifying, and terminating rental guarantor service contracts with renters
    • For carrying out processes related to concluding, modifying, and terminating rental guarantor service contracts with landlords
    • For exercising rights and fulfilling obligations related to rental guarantor service contracts with renters
    • For exercising rights and fulfilling obligations related to rental guarantor service contracts with landlords
    • For informing landlords, agents, and proxies designated by landlords of the renter’s status with regard to the fulfillment of their obligations
    • For providing information about products and services in writing or by email
    • For providing information about products and services provided for or by joint users, and for exercising rights and fulfilling obligations related to the provision of those products and services
    • For demanding payment of late rent and other fees from renters and emergency contacts, and for performing all other incidental tasks that this requires
    • For providing personal information related to renters to landlords and rent collectors (including proxies designated by the landlord as rent collection contractors) for the purpose of renewing and managing rental contracts
    • For providing personal information related to a renter if that renter’s information is registered with a business partner of JID in order to investigate the renter’s ability to pay
    • For providing personal information related to renters and landlords if JID is going to transfer the debt to a debt collection agency in accordance with the Act on Special Measures Concerning Claim Management and Collection Businesses
    • For providing the services offered by JID and handling incidental matters
    • For providing information related to JID’s plans, benefits, services, and other business activities
    • For handling inquiries, requests for informational materials, etc.
    • For offering prizes and conducting marketing campaigns (including the sending of products)
    • For performing analysis for the purpose of determining the usage status of our services and for improving our services
  2. Personal information related to JID’s business partners
    • For making business contacts, executing contracts, exercising rights, and conducting business negotiations as needed for business reasons
    • For organizing and managing information related to business partners
  3. Personal information related to job applicants
    • For providing information, contacting, and informing job applicants
    • For deciding whether to accept or reject job applicants
  4. Personal information related to employees
    • For management related to personnel and labor affairs (including attendance management, payroll calculation, payroll payments, and exercising personnel rights)
    • For procedures related to various types of insurance (social insurance, nursing care insurance, employment insurance, etc.) and year-end adjustment
    • For procedures involving government agencies (notifications, permits, etc.)
    • For procedures related to various types of benefits (such as health checkups)
    • For contacting employees for work-related reasons
    • For emergency communication in the event of a workplace problem or natural disaster
    • For ascertaining location information as required for managing attendance and maintaining safety
  5. Personal information related to other contacts, visitors, etc.
    • For contacting people, managing correspondence, and sending related materials
    • For recording visitors to JID and managing access control
    • For performing other tasks as necessary in order to achieve the purposes of the above-mentioned items

3. Sharing, Outsourcing, and Joint Use of Personal Information

  1. In the course of rental guarantee operations for rental-based real estate, JID may provide the personal information of renters to landlords, real estate agents, and proxies designated by landlords (including but not limited to parties to whom the landlord has outsourced rent collection) to debt collection agencies and other business parties to the extent necessary to achieve the purpose of use, provided that we have obtained the renter’s prior consent.
  2. JID may outsource all or part of the handling of our customers’ personal information to the extent necessary for achieving the purposes of use described in the previous section. In such cases, JID shall take appropriate supervisory measures with regard to the contractor.
  3. Apart from the circumstances describe in (1) above, JID may jointly use the personal information of customers under the following conditions.
    1. Scope of personal information that may be jointly utilized
      • The renter’s name, telephone number, email address, street address, date of birth, gender, and nationality; the name, telephone number, and street address of the renter’s employer; and the products and/or services provided by JID
      • The name, telephone number, street address, date of birth, gender, and relationship of anyone living with the renter
      • The name, telephone number, street address, date of birth, gender, nationality, relationship of the joint guarantor or emergency contact, as well as the name, telephone number, and street address of that person’s employer
      • The name, location, rental fee, and other details pertaining to the rented property
      • The name, telephone number, and street address of the landlord
      • Information pertaining to the bank account used for paying rental fees
    2. Scope of parties who may jointly use personal information

    3. Purpose of use by users
      • Home Meister 24 may use personal information for online sales related to lifestyle support as well as for sharing various types of information, providing 24-hour support services, and contacting customers as necessary.
      • JID INVESTMENTS may use personal information for conducting its real estate business (real estate brokerage, mediation, management, sales, and purchases) and for contacting customers as necessary.
      • Moving Master Japan may use personal information for conducting its transport and moving business and for contacting customers as necessary.
      • Job Style may use personal information for conducting its temporary staffing business and its fee-based employment agency business, as well as for contacting customers as necessary.

4. Safety Control Measures

In order to prevent unauthorized access to personal information as well as the alteration or leakage of personal information, we have established organizational, human-related, physical, and technical safety control measures, and we monitor the external environment to prevent such problems from occurring.

  1. Organizational safety control measures
    • We have established rules for handling personal data with regard to acquisition, usage, sharing, deletion, and disposal, as well as handling methods, responsible parties, supervisors, and the duties of supervisors.
    • We have assigned a supervisor who is in charge of the handling of personal data, and we have clarified which employees handle personal data as well as the scope of personal data that they handle. We have also established a system for reporting to the supervisor whenever a violation of laws and regulations or handling rules or indication of such a violation is discovered.
  2. Human-related safety control measures
    We provide regular training for employees on things to keep in mind regarding the handling of personal data.
  3. Physical safety control measures
    Employee access controls and restrictions have been applied to areas where personal data is handled, and we have implemented measures to prevent unauthorized access to personal data.
  4. Technical safety control measures
    We have implemented access controls to restrict who has access to personal data and the scope of the data to which supervisors and others who handle personal data have access.

5. Purpose of Use of Shareholder Information

JID uses shareholder information for the following purposes.

  • For exercising the rights and fulfilling the obligations of shareholders in accordance with the Companies Act and other laws and regulations
  • For sending business activity reports and other information to shareholders
  • For providing benefits that people receive from JID for being shareholders
  • For implementing various measures to facilitate the relationship that shareholders have with JID and its subsidiaries
  • For preparing shareholder data in accordance with the standards prescribed by various laws and regulations
  • For creating and maintaining the register of shareholders
  • For carrying out tasks related to the tasks described above

6. Communication from Shareholders

8. Disclosure and Correction of Personal Information

We accept requests from customers regarding “notification of the purpose of use of personal information subject to disclosure”; “disclosure of personal information subject to disclosure”; “corrections, additions, and deletions of personal information subject to disclosure”; and “suspension of use or sharing with third parties of personal information subject to disclosure” (hereinafter, “disclosure”). Please contact the following for specific procedures regarding disclosure requests.
Please be aware that, of these request types, JID charges a processing fee for requests for “notification of the purpose of use of personal information subject to disclosure” and for “disclosure of personal information subject to disclosure.”

Policy on the Acquisition, Use, and Provision of Personal Information

Article 1 (Scope of use)

Japan Identification Co., Ltd. (hereinafter referred to as “JID”) shall use personal information acquired from customers (renters in the case of guarantor service contracts and landlords in the case of guarantee contracts; hereinafter referred to as the “Customer”) at the time of receiving an application for (including during the conclusion of) a “rental guarantor service contract or guarantee contract” (hereinafter referred to as the “Guarantor Service Contract, etc.”), and personal information obtained during the course of the Guarantor Service Contract, etc. (hereinafter referred to as “Personal Information”), for the purpose of the reliable and smooth execution of related operations and information provision (regarding rental guarantee operations, members-only mail-order sales operations, lifestyle-support loan-fund lending services, insurance proposal preparation operations, insurance-premium guarantee operations concerning home-contents insurance contracts, and so on).
Detailed information regarding the definition of Personal Information, methods of acquisition (the content of telephone calls), the purpose of use, safety control measures, joint use, and so on, shall be made available to the public on a website posted within the JID homepage entitled the “Handling of Personal Information” (https://jid-net.co.jp/privacy_statement/) (hereinafter referred to as the “Website”), and JID shall comply with the content of the Website.

[Joint use of Personal Information]

JID shall provide the following types of information to the joint users stated below within the scope necessary for the purpose of use of the joint users (including content that has been posted on the Website). Purposes of use shall include the performance of services by JID for the Customer with whom the Guarantor Service Contract, etc. has been concluded, such as offering mail-order sales and providing various types of information using the internet related to lifestyle support, providing information regarding insurance proposal preparation, and collecting and remitting insurance premiums for home-contents insurance contracts (including paying security deposits in advance).

  • The name, telephone number, street address, date of birth, gender, and relationship of anyone living with the renter
  • The name, telephone number, street address, date of birth, gender, nationality, and relationship of the joint guarantor or emergency contact
  • Company name, telephone number, and address
  • The name, location, rental fee, and other details pertaining to the rented property
  • The name, telephone number, and street address of the landlord
  • Information pertaining to the bank account used for paying rental fees

Article 2 (Consent for acquisition and use of Personal Information)

  1. The Customer consents to JID’s acquiring and using Personal Information, or its joint using of such within the scope stated in the previous article and on the Website.
  2. The Customer consents to JID’s checking the information stated on a certificate of the Customer, such as a driver's license or passport, in order to confirm his/her identity. (The methods of checking shall include, but not be limited to, acquiring copies and electromagnetically checking scanned data.)
  3. In the case that the Customer is a renter, he/she consents to JID’s sending him/her text messages using an SMS notification service in the case that there is a notification related to a notice concerning a screening, a failure to pay rent, etc., an issue regarding submitted documents, and so on. When using the abovementioned service from September 2013 onward, JID shall send SMS with the inclusion of telephone numbers and URL regardless of the safety blocking setting of the mobile phone company "au."

Article 3 (Consent for use and provision, etc. of Personal Information for operations not related to credit)

  1. The Customer consents to JID’s using the Personal Information stipulated in Article 1 in all of the situations in the following items.
    1. The Personal Information will be used for business activities and so on targeting the Customer such as sending advertising materials and printed materials, sending SMS, sending emails, giving notices by telephone, providing various internet services and apps, and providing other services related to such.
    2. The Personal Information will be used for sales activities and business activities targeting the Customer other than the above.
    3. There is a notification for the Customer regarding a matter such as a failure to pay rent, etc. or an issue regarding submitted documents.
    4. The Personal Information will be used in a way other than the above that is based on the purpose of use stated on the Website.
  2. In the case that the Customer is a renter, he/she consents, without objection, to JID's providing the Personal Information stipulated in Article 1 to landlords and rent collectors (including entities to whom landlords have entrusted rent collection) and to the landlords’ and rent collectors’ accepting such and using it for purposes such as renewing rental contracts that have been concluded between the renter and the landlord, and management.

Article 4 (Consent for use regarding business partners and personal credit information agencies)

In the case that the Customer is a renter, he/she consents to JID’s inquiring with business partners in order to investigate his/her ability to pay, and using application information of the renter if it has been registered with a business partner.

Article 5 (Consent for provision, etc. of Personal Information)

The Customer consents to JID’s providing Personal Information acquired in accordance with Article 1 to a debt collection agency in the case that JID is entrusting debt collection (including debt transfer) to the said debt collection agency based on the Act on Special Measures Concerning Claim Management and Collection Business.

Article 6 (Disclosure, correction, addition, deletion, and suspension of use of Personal Information)

  1. In the case that Personal Information regarding the Customer that JID has acquired exists, the Customer shall be able to request the disclosure of the relevant registered Personal Information regarding him/her, and make requests in accordance with the stipulations of Paragraph 2 and Paragraph 3 of this article in writing, by electromagnetic means, or by another method prescribed by JID.
  2. In the case that the Customer has made it clear that the content of Personal Information regarding him/her is inaccurate or erroneous, or JID no longer needs to use such information, or such information has been leaked, etc., or if it is found that the rights or legitimate interests of the Customer may be harmed, JID shall promptly correct, add to, or delete such information.
  3. In the case that Personal Information regarding the Customer is being used for a purpose other than the original intent, or has been acquired or is being used improperly, or is being provided to third parties (with the exception of cases in which such information is being disclosed for outsourcing or joint use), the Customer shall be able to ask for JID to suspend its use, delete it, or suspend its being provided to third parties.

Article 7 (Voluntary nature of provision of Personal Information)

In the case that the Customer is a renter, JID shall determine whether to conclude the Guarantor Service Contract, etc. with the renter based on the Personal Information received from him/her. In the case that the renter does not wish to provide the required information on the Guarantor Service Contract, etc. (information that must be written or input on the application form for services or guarantor service contract form, or be provided by electromagnetic means), or in the case that the Customer cannot approve of all or part of the content of this Policy, JID may in some cases refuse to conclude the Guarantor Service Contract, etc.

Article 8 (Notification of examination results)

In the case that the Customer is a renter, he/she consents to JID’s examining the application received from him/her, and JID’s giving notice of the examination results to an agency company, the landlord, or an entity designated by the landlord. JID shall not disclose reasons, etc. regarding the examination results to the Customer, agency company, landlord, or entity designated by the landlord.

Article 9 (Management of Personal Information)

In order to prevent Personal Information under the management of JID from being lost, misused, or altered, JID shall make an effort to implement appropriate security countermeasures based on the safety control measures stated on the Website. JID shall make an effort to store Personal Information in a safe environment in which only authorized users are able to access such.

Article 10 (Revision of this Policy)

  1. JID shall be able to make changes to this Policy if it deems that doing so is necessary. In the case of making changes this Policy, JID shall make known the enforcement date and content of the revised version of this Policy via the internet or another appropriate means. Nevertheless, the above shall be limited to cases in which the content of changes is congruous with the general interests of the Customer.
  2. Notwithstanding the provisions of the previous article, in the case of making changes to the purpose of use of Personal Information, the changes shall be carried out within a scope in which it is reasonably recognized that there is relevancy with the purpose of use prior to such changes.

Article 11 (Contact point for inquiries and supervisor responsible for Personal Information protection)

The contact point for making requests regarding the disclosure, correction, addition, and deletion of Personal Information, and for making inquiries regarding Personal Information shall be as follows.
